Keep everyone in the loop

Tenants want updates. Owners want decisions. Trades want access. Communicate early.

Most maintenance issues don’t cause frustration because they’re taking too long — they cause frustration because no one knows what’s going on. Silence feels like nothing is happening. Updates, even small ones, keep trust intact.


At Tapi, we believe that communication is just as important as coordination. A great maintenance coordinator doesn’t just move jobs forward — they bring people along for the ride. That means proactive updates to tenants, timely approvals with owners, and clear instructions for trades.

You don’t need to write novels. You just need to set expectations and follow through:

  • Let tenants know when the job is booked (and with who).
  • Let owners know when a job’s started, stalled, or solved.
  • Let tradies know who to contact and how to access the property.


And when something goes wrong? Say so. Blame isn’t the goal — clarity is. People don’t need perfection; they need to know what’s happening and when they’ll hear from you again.
