Prioritise action

Don’t let jobs sit. Either assign, escalate, or close.

In maintenance, speed matters. A good coordinator doesn’t just log jobs — they move them forward. Every open job is a question waiting for an answer: assign it, get approval, or close it out. The longer it sits, the worse it gets.

At Tapi, we talk a lot about job momentum. When a maintenance request lands, your job isn’t just to record it — it’s to move it. Quickly. That might mean requesting more info, escalating to an owner, or booking a tradie. But something has to happen. Every action you take now saves multiple follow-ups later.

The best coordinators don’t let jobs sit in limbo. They use simple status buckets — like “Needs info,” “Waiting on owner,” “Assigned,” or “Ready to close” — to keep their workflow clean and transparent. If a job isn’t progressing, they ask: why not?

Prioritising action also builds trust. Tenants notice when you respond quickly. Owners appreciate decisive updates. Tradies are more likely to take your jobs seriously when they see you’re organised.

In short: don’t let jobs collect dust. Move them forward every day. Even a small step is better than none — because in property maintenance, motion is everything.
